1. Purpose
This Notice explains how a person may exercise rights relating to personal information processed by Cofi Compliance under POPIA and, where applicable, PAIA.
2. Where to send requests

3. Rights that may be exercised
Subject to applicable law, a data subject may request to:
- Confirm whether Cofi Compliance holds personal information about them.
- Access a record or description of personal information held by Cofi Compliance.
- Request correction or update of inaccurate, irrelevant, excessive, outdated, incomplete, misleading, or unlawfully obtained information.
- Request deletion or destruction of personal information Cofi Compliance is no longer authorised to retain.
- Object to certain processing.
- Withdraw consent where consent is the legal basis for processing.
- Lodge a complaint with the Information Regulator.
Regulatory-update subscribers can request a secure withdrawal link through the consent management page. Other data-subject requests can be submitted using the process below.
4. Official request forms
- PAIA Form 2 for access to a record.
- POPIA Form 1 to object to processing.
- POPIA Form 2 to request correction, deletion or destruction.
5. Identity verification
Cofi Compliance may require proportionate proof of identity and, where a request is made on behalf of another person, proof of authority. Do not email an unredacted identity document unless the Information Officer has confirmed a secure and necessary method for providing it.
6. Request details
A request should include:
- Full name and contact details.
- Proof of identity.
- Description of the personal information or record requested.
- The right being exercised.
- The correction, deletion, objection, or access requested.
- Any supporting information.
- Preferred method of response.
7. PAIA access requests
Where a request is a formal PAIA request for access to records, the requester must use the prescribed PAIA Form 2 process described in Cofi Compliance's PAIA Manual.
8. Response handling
Cofi Compliance will consider each request in accordance with POPIA, PAIA, and other applicable law. Access may be refused where a lawful ground for refusal applies. Fees may apply where permitted by law.
A PAIA access request will be logged and decided within 30 calendar days after receipt, subject to any lawful extension. POPIA requests will be handled as soon as reasonably practicable.
9. Complaints
If a requester is dissatisfied, they may contact Cofi Compliance at info@coficompliance.com, use the Regulator's PAIA complaint process, or submit a POPIA complaint.
